Chepstow Plantaria Ltd, Trading as Chepstow Garden Centre, Norton Garden Centre and Iron Acton Garden Centre, is the organisation, controller and processor of the Membership information provided by our Gardener’s Club Members and Customers’.
Chepstow Plantaria Ltd (The Company), care about your privacy and are committed to processing your personal information in accordance with fair information practices and applicable data privacy laws, within the meaning of the Data Protection Act and, with effect from the 25th May 2018 the General Data Protection Regulation.
This notice explains how the personal information of our Gardener’s Club members and Customers’ is handled by the Company.

Personal Information Collection and Use
We collect personal information directly from our Gardener’s Club members and Customers’ in a number of ways:
• Direct personal interaction at a point of sale
• In writing on a membership application form in store or online
• By email
• From an online enquiry form
• When you place a web shop order
We process your information through established automated and/or paper based data processing systems for legitimate business purposes only, to administer your Gardener’s Club account, process a purchase in store or online and to directly communicate with you.
Types of personal Data collected online
We collect the following personal information from you when you join our Gardener’s Club:

- Date of Birth
- Telephone number
- Email Address
- Full Postal Address
The obligatory information is used to create your membership account. This account is used to record and access; purchase details, reward points and discount status.
The additional contact information is used to send members; Garden Centre news, gardening hints and tips, special offers and promotion information and to respond to enquiries in the most efficient way.
If you join our Gardener’s Club using our web site the following additional information will be collected using cookies, this information is not obligatory. Cookies are small information files that a website leaves on your device, with which your activities on our website are followed. The information collected online using cookies is not obligatory.
Disclosure / Recipients
Access to Gardener’s Club Members and Customers information will only be used for the purposes listed in this document.
We will only disclose or share your personal information with a third party service provider for legitimate business reasons and have taken the necessary contractual measures to ensure that our members information is processed and protected in line with applicable data privacy laws.
Currently we do use a third party service provider for our online services, we have a contractual processor agreement with this service provider in line with European legislation.
We respect your right to object to any uses or disclosures of your personal information that are not for legitimate business purposes.
Member’s personal information will only be collected, processed or transferred if it is needed for legitimate business reasons; we do not share or sell your information.
We do not store payment or invoice details, if you make an online payment through our web shop the payment process is transferred directly to the online payment portal provided by our bank using their secure payment service.
We take reasonable steps to ensure that personal information is accurate, complete and current. Please note that you have a shared responsibility with regard to the accuracy of your personal information. Access and the right to information
You may at any time request to view and verify the content and accuracy of your personal information held by the Company. You may also request that the Company deletes personal information about you.

We will respond to your request as quickly as possible and no later than 4 weeks from your request.
Chepstow Plantaria Ltd, take reasonable precautions to protect personal information from loss, misuse, unauthorised access, disclosure and alteration. In the case of a breach of personal information we will take all reasonable steps to inform our customers.
Retention of Personal Information

We do not store your data for longer than is necessary to implement our agreement with you and for legitimate business purposes only. Online contact, customer feedback forms and web shop purchase information details are automatically removed within 24 months.
